This is a high-trust, high-impact role for someone with strong executive support experience, exceptional judgment, discretion, and operational excellence. The ideal candidate has previously supported a founder, C-suite leader, or senior executive, knows how to manage competing priorities in a fast-paced environment, and is comfortable using modern tools and AI to improve efficiency. This person will play a critical role in helping the executive stay organized, prepared, and focused on the company’s highest-priority initiatives. Key Responsibilities: - Oversee day-to-day accounting and financial operations across multiple Medici entities. - Manage accounts receivable, including membership billing, invoicing, payment reconciliation, collections, and account maintenance. - Oversee accounts payable, vendor payments, contractor payments, and reimbursements through Bill.com. - Maintain accurate financial records in QuickBooks and coordinate month-end close activities, account reconciliations, and financial reporting. - Prepare monthly financial statements and support cash flow management, budgeting, and forecasting. - Leverage AI, automation, and modern financial tools to streamline accounting processes, improve accuracy, and increase efficiency. - Identify opportunities to improve billing, payment tracking, reporting, and internal financial controls. - Coordinate with payroll providers, external accountants, and international accounting partners to support accurate and timely financial operations. - Collaborate with Operations, Care Concierge, and Leadership to resolve financial discrepancies and support business needs. - Develop scalable financial processes and proactively identify opportunities for improvement as the company grows. Qualifications: - 4+ years of progressive accounting experience, including hands-on responsibility for financial reporting, account reconciliations, and month-end close processes. - Bachelor's degree in Accounting, Finance, or a related field. - Strong understanding of accounting principles, accounts payable, accounts receivable, and financial controls. - Experience with accounting software; QuickBooks and Bill.com experience is a plus. - Familiarity with AI tools, automation, or financial technology, with an interest in applying these solutions to improve workflows. - Strong analytical, organizational, and problem-solving skills with excellent attention to detail. - Ability to work independently, manage competing priorities, and take ownership of financial processes. - Experience in a startup, multi-entity organization, or recurring revenue business is a plus. - Strong communication and collaboration skills, including the ability to work effectively across departments and with external partners.
