The role?

This role owns the physical and operational backbone of RZR's Bangalore office — from day-to-day facilities (utilities, network, workplace assets) to vendor relationships, office budget, and asset management for the site. It also picks up HR operations support such as onboarding, offboarding, and employee documentation, plus visa and travel coordination for staff moving between Bangalore and RZR's other sites (Beijing, China R&D Center), so the People team isn't pulled into logistics. This role exists now because RZR's Bangalore office is scaling and no one currently owns these functions end to end — it's a high-visibility, high-autonomy position with a clear growth path into a broader Office Manager or administrative leadership role as scope expands.

What will you do?

- Daily office upkeep: Keep the office clean and running smoothly. Handle basic facilities issues like power, water, and network, and respond right away when something goes wrong.
- Office budget and bookkeeping: Plan monthly office spend and keep the books — team meals, snacks, team-building activities, utilities, and office supply purchases. Control costs and reconcile accounts regularly.
- Onboarding and offboarding support: Support HR on onboarding and offboarding, including workstation setup, access card configuration, and coordinating new-hire paperwork and departing-employee handovers.
- Document management: Maintain the company's day-to-day non-confidential files. Handle printing, filing, and organizing so documents stay searchable and traceable, in line with internal records management standards.
- Vendor and contract management: Own contract terms, renewals, and cost negotiations directly for office-related vendors (cleaning, security, catering, office IT infrastructure, renovation, property management, and so on).
- Asset management: Build and maintain the office property inventory — track quantity, allocation, condition, and lifecycle of furniture, equipment, and hardware, with regular counts.
- Visa and travel coordination: Help employees with visa applications, invitation letters, and related travel arrangements for trips between Bangalore and RZR's other offices.
- Employee help desk: Serve as the main point of contact for employees' day-to-day office questions, and respond to and resolve requests promptly.
- Front desk and visitor reception: Handle visitor registration/sign-in and manage front desk reception.
- Mail and package management: Handle receiving, logging, and distributing the company's packages and mail.

What are we looking for?

- Two or more years of experience in an office administration, facilities, or workplace operations role, ideally at a mid-size or larger company.
- Direct experience managing vendor relationships and negotiating service contracts.
- Proven ability to run a multi-step project independently (e.g., an office move, renovation, or large event) from planning through execution.
- Working proficiency with basic office and document management tools and recordkeeping systems.
- Fluent English, spoken and written.
