Capital Project Manager The Capital Project Manager oversees a portfolio of small- to mid-scale capital improvement projects that are preventative, predictive, or minor restorative in nature. This role ensures capital projects are executed efficiently, on time, and within budget, while maintaining alignment with Asset Living’s quality standards. Unlike large-scale construction management engagements, Capital Project Managers support projects with limited complexity, shorter timelines, and minimal on-site supervision requirements. The ideal candidate is detail-oriented, highly organized, and skilled at managing vendors, schedules, and budgets for multiple concurrent small projects. This role focuses on coordination and oversight, rather than ground-up construction leadership. ## Responsibilities Project Planning and Initiation - Partner with stakeholders to define the goals, scope, and requirements for capital projects such as preventative maintenance, minor restorations, component replacements, and light asset improvements. - Develop concise project plans outlining tasks, timelines, resource needs, and milestone expectations. - Assess historical property performance, maintenance needs, and owner objectives to prioritize capital initiatives. Budgeting and Cost Management - Develop and manage budgets for small-scale capital projects, ensuring alignment with ownership expectations. - Track project expenditures, maintain accurate financial documentation, and identify cost-efficient alternatives where appropriate. - Provide early visibility to potential cost impacts or scope adjustments. Vendor and Contractor Coordination - Source, evaluate, and coordinate vendors, specialty contractors, and service providers appropriate for the project scope. - Obtain bids, review proposals, support contract execution, and ensure contractor compliance with project requirements. - Oversee vendor scheduling and project mobilization to ensure timely execution. Project Execution & Oversight - Monitor progress through scheduled check-ins, photo documentation, and milestone verification. - Conduct periodic on-site visits as needed based on project type, risk level, and scope (significantly less frequent than Construction Project Managers). - Ensure work is completed according to manufacturer recommendations, product specifications, and Asset Living quality expectations. Risk Management & Compliance - Identify routine risks associated with capital repairs, replacements, and minor renovations and implement mitigation steps. - Confirm contractors adhere to safety requirements, insurance obligations, and community protocols. - Support compliance with local codes, permitting (if required), and internal reporting standards. Quality Control - Perform quality checks at project start, key milestones, and completion to confirm work meets specifications and owner expectations. - Document deficiencies and coordinate corrective actions with vendors. Communication and Reporting - Serve as the primary point of contact for capital project updates and stakeholder communication. - Provide weekly or milestone-based updates on progress, budget status, risks, and next steps. - Maintain organized project documentation, photos, change orders, and vendor communication. - Deliver close-out packages including warranties, invoices, and completion reports. ## Qualifications - Bachelor’s degree in Construction Management, Facilities Management, Engineering, or equivalent experience preferred. - Experience managing capital, maintenance, or light construction projects within multifamily or commercial real estate is strongly preferred. - Strong knowledge of capital repair processes, building systems, and property operations. - Excellent coordination, vendor management, and communication skills. - Ability to manage multiple concurrent small projects with varying timelines. - Proficiency with project tracking tools, Microsoft Office Suite, and digital documentation platforms.
