Job Summary: We are looking for an organized, proactive, and eager-to-learn Event Operations Coordinator to join our global Field Marketing team. This is a hybrid role based in Medellín, Colombia, requiring you to work from our local office 2 days a week and remotely the rest of the time. In this role, you will be the logistical and operational engine behind our presence at major external trade shows, conferences, and industry dinners in the US. You will manage registrations, coordinate shipments, handle vendor communication, track budgets, and ensure our traveling team is aligned and on schedule. Between events, you’ll also have the opportunity to expand your skills into marketing operations, learning CRM hygiene (HubSpot & Salesforce), basic email campaigns, and light design work. Job Responsibilities: Event Operations & Logistics (90%) - Coordinate registration and logistics for the team's attendance at external conferences, trade shows, and industry dinners (badges, seats, sponsorship deliverables, dietary/attendee info, etc.). - Track sponsorship costs, vendor invoices, and event-related spend against budget; flag discrepancies or upcoming payment deadlines. - Arrange shipping of booth materials, collateral, and swag to event venues, and track shipments to confirm on-time arrival. - Track event inventory remotely — monitor stock of swag and collateral, flag low supply, and coordinate reorders with vendors. - Maintain the team's field events calendar, tracking registration deadlines, sponsorship commitments, and vendor payment/delivery timelines. - Send reminders to traveling team members via Slack and email — covering upcoming deadlines, shipment status, sponsorship deliverables, and event prep tasks. - Set up and monitor event registration pages where the company is sponsoring or exhibiting. Marketing Operations Support (10%) - Format and clean post-event lead spreadsheets for upload into HubSpot and Salesforce. - Use templates to create event-related social graphics when needed.
