The Opportunity - The Facilities Coordinator will work closely with the Director of Real Estate and Director of Facilities to support all facilities activities. The Coordinator will be the first point of contact for internal and external team members seeking support and information from the Facilities Team, manage office functions including: Work order coordination (web-based system), security badge and access assignments, database management, daily office operations, coordination of invoice processing, maintaining office records, and providing general support services for the team. Additionally, the Facilities Coordinator will manage all outside contractors in support of the Real Estate Team, including maintaining records and contracts, assisting in coordinating project activities, and providing scheduling support in conjunction with School Business Operations Managers. - Assist the Real Estate and Facilities Teams in all aspects of project implementation as needed - Support the team with external contacts as needed - Manage the security access-control database in conjunction with the Security Contractor - Assist in coordinating all facilities activities, work direction and support systems - Maintain and update team policies and processes as determined by Director of Real Estate - Set up, maintain and organize department’s central hard and soft files, information, filing and messages - Assist facilities staff in locating parts, supplies, and materials - Maintain requests for proposals, bid information, and other contract documents - Process invoices via online system Anybill - Provide administrative support to the Facilities Team - Manage ZenDesk system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration The Qualifications - Associate’s degree and 2 years of facilities experience or 4 years of facilities experience required - Spanish fluency preferred - Facilities or operations experience in a nonprofit or educational institution preferred - Knowledge of Google applications (Gmail, Google Calendar, Google Docs, etc.) - Experience with computerized maintenance management systems - Demonstrated ability to work and communicate professionally, verbally and in written form with internal and external customers - Ability to use critical thinking and problem-solving skills - Must have strong interpersonal skills and ability to work in a team environment - Ability to manage multiple projects simultaneously, adjust priorities and work autonomously - Track record of leadership, integrity, initiative, curiosity and perseverance - Demonstrate passion for KIPP SoCal's mission ## Benefits & Compensation - Hourly rate ranges from $23.50 to $24.50 per hour - 100% of healthcare premium costs covered by employer, dependents added at 50% of cost - Employer-paid KIPP SoCal life insurance - 401(k) plan with up to 6% match by KIPP SoCal - Voluntary Benefits (Pet Insurance, Supplemental Life, Accident, Short Term Disability, etc.) - Generous time off program includes 22 holidays, sick leave and vacation - Other great benefits (Flexible spending account, EAP, tuition reimbursement for dependents, etc.) KIPP SoCal Public Schools is an equal opportunity employer and does not discriminate on the basis of race, color, religion, sex, age, national origin, veteran status, disability, sexual orientation/gender identity, or any other characteristic protected by applicable law.
