This is a high-trust, high-impact role for someone with strong executive support experience, exceptional judgment, discretion, and operational excellence. The ideal candidate has previously supported a founder, C-suite leader, or senior executive, knows how to manage competing priorities in a fast-paced environment, and is comfortable using modern tools and AI to improve efficiency. This person will play a critical role in helping the executive stay organized, prepared, and focused on the company’s highest-priority initiatives. Key Responsibilities: - Own the day-to-day accounting operations across multiple Medici entities. - Manage accounts receivable, including membership billing, service invoicing, payment reconciliation, collections, and account maintenance. - Ensure all recurring membership and service invoices are generated accurately and on time. - Design, implement, and maintain scalable billing and payment tracking processes that ensure accurate invoicing, timely collections, and clear visibility into customer payment status. - Leverage AI, automation, and modern financial technology to streamline accounting and finance workflows, improve accuracy, reduce manual processes, and strengthen financial controls. - Proactively identify opportunities across accounts receivable, accounts payable, reconciliation, reporting, forecasting, and other financial processes that can be automated or AI-assisted. - Evaluate and implement tools, workflows, and process improvements that create a more scalable and technology-enabled finance function. - Manage accounts payable, including vendor payments, contractor payments, employee reimbursements, expense review, and oversight of Bill.com workflows and approvals. - Maintain accurate financial records and oversee all activity within QuickBooks. - Lead month-end and year-end close processes, including reconciliations and financial reporting. - Prepare monthly financial statements and provide reporting to leadership. - Monitor cash flow and support budgeting and forecasting activities. - Coordinate payroll processing and ensure timely and accurate payments for employees and international contractors. - Partner with external accountants, auditors, and tax advisors as needed. - Develop and improve financial processes, controls, billing workflows, and reporting procedures to support company growth. - Work closely with Operations, Care Concierge, and Leadership teams to ensure accurate billing, reporting, and financial management across the organization. - Identify process gaps, resolve financial discrepancies, and proactively improve operational efficiency. Qualifications: - Demonstrated experience leveraging AI, automation, or technology to improve finance and accounting processes, with the ability to identify opportunities to automate workflows, increase efficiency, improve accuracy, and strengthen financial controls. - Bachelor’s degree in Accounting, Finance, or a related field. - 5+ years of progressive accounting, finance, or financial operations experience. - Strong foundation in accounting principles, financial reporting, reconciliations, accounts payable, accounts receivable, and financial controls. - Strong analytical and problem-solving skills with a demonstrated ability to improve processes and build scalable financial workflows. - Experience working with accounting and financial management systems; QuickBooks experience preferred. - Experience with accounts payable and payment platforms such as Bill.com or similar systems preferred. - Experience with multi-entity financial operations, recurring revenue, memberships, subscriptions, or healthcare billing preferred. - CPA or similar professional accounting designation preferred, but not required. - Exceptional attention to detail, organization, and follow-through. - Ability to work independently, take ownership of outcomes, and thrive in a fast-paced, growth-stage environment. - Curiosity and willingness to continuously evaluate emerging AI and financial technologies that can improve how the finance function operates.
