The platform supports 350+ advisory firms and 1,500+ GP relationships, with $5B+ in assets on the platform. ## About The Role As a Fund Operations Analyst, you will run the daily execution engine behind the 150+ funds on the Allocate platform. Capital call notices, wires and transfers, credit facility drawdowns, payment matching, expense reconciliation, and the records that everything else depends on. As Allocate scales, the fund count on the platform is growing quickly, and we need to keep automating our processes to keep pace. You will learn the operational process, then work with the team and spearhead the efforts on how we can automate our workflows. This is a hands-on execution role with a build mandate attached, and you will be measured on two things. Did the work deliver a superb client experience, accurate and on time every time, and can the same team handle more funds this quarter than it could last quarter. ## What You'll Own You will work day to day alongside our Allocate Fund Finance team, splitting coverage across the fund portfolio, and report directly to the Head of Feeder Operations. You will also partner closely with our client service team, third-party fund administrators, audit and tax teams. Fund Lifecycle Operations - Prepare capital call notices across the fund portfolio and route them for review and approval. - Set up wires and transfers across our banking platforms, including capital call fundings and distributions to limited and general partners. - Reconcile daily partner activity across bank accounts, flag anything that does not tie, and support quarterly cash queries from the fund administrator and auditors. - Own fund expense reconciliation. Code and allocate incoming invoices to the correct fund, series, and period, maintain and true up accruals, reconcile expenses against bank activity and the administrator’s books, and carry clean support into quarterly review and the annual audit. - Prepare credit facility drawdowns ahead of capital call deadlines, track repayments and outstanding balances, and pull together quarterly compliance reporting. - Own the core operational trackers covering investment activity, capital call payments, distributions, credit facilities, tax document status, and investor commitment records. - Review quarterly fund financials against source workpapers and tie the statements to the underlying schedules before anything goes out. - Assist in opening bank and brokerage accounts for new funds, including compiling the required entity documentation and maintaining account records. Automation and Process - Document every workflow you touch and create new processes for those that don’t currently exist. If it is not written down, it cannot be audited, operationalized, improved, or automated. - Partner with Product and Engineering to push repeatable operational logic into the platform rather than keeping it in spreadsheets. - Build the automation. Templated notice generation, rules-based payment matching, invoice intake and expense allocation, self-updating accrual roll forwards, scheduled reconciliations, automatic file routing, and alerting on exceptions instead of manual daily checks. - Replace manual tracker updates with queries and dashboards pulled from the source systems. What Success Looks Like - Capital calls, distributions, and wires go out accurately and on deadline, with no client-visible errors. - Expense reconciliation closes on schedule each period, with documented support that the administrator and auditors accept without a round of follow-up questions. - Manual hours come out of the core workflows every quarter, measured against the tasks you have automated or eliminated. - The fund count grows without a matching increase in operational headcount or cycle time. ## Who You Are - 1 to 3 years of experience in fund operations, fund administration, treasury, audit, or a related finance function, with a working understanding of private fund mechanics. Capital calls, distributions, fund expenses, capital accounts, and investor reporting. - Real reconciliation experience, and precision under deadline pressure. You have owned an expense or cash reconciliation before, you are comfortable explaining a variance to a reviewer, and you know that wire cutoffs and capital call dates do not move. - Process minded by instinct, and already using AI to take repetitive work off your plate. You write things down, you notice when the same problem shows up twice, and you fix the cause instead of the instance. - Strong communicator. You coordinate clearly with fund administrators, banks, auditors, and internal teams, and you keep people updated without being asked. - Growth-oriented and energized by a scaling environment. You want to grow with the firm and take on more ownership as the fund count and team expand. ## Nice to Have - Experience working alongside a third-party fund administrator, reviewing and challenging their output rather than producing it yourself. - Treasury or payment operations background. Working in a bank portal with dual approval workflows, wire cutoffs, and payment controls. - Time in an early-stage or high-growth environment where the process did not exist yet and you had to build it. Essential Values & Culture - Providing our clients with a world-class experience is our number one priority. We obsessively search for ways to improve the experience for our clients and partners. This requires extraordinary response times, proactivity, and ensuring that everything we do — from product strategy to offline communications — reflects a top-tier client experience. - Challenge convention: Instead of detailing all the reasons why an idea may not work, we constantly question things to determine how a viable idea may be put into motion. - Commitment to continuous improvement: We find ways to personally scale each day by pushing ourselves up the learning curve. - Meritocracy, not politics: We place the utmost value on results and rewards through merit, not reward actions driven by political agendas or behavior. - Civil Discourse is embraced: We believe open, intellectually curious conversations are required to consistently arrive at the best decisions. Respect is paramount in our dealings with one another, but our mission is always to get the right answer collectively, not to be right. - Embrace technological change: We adopt tools and techniques that make us faster, smarter, and better. We stay open to innovation, especially around AI and automation, and drop outdated methods without hesitation. This includes actively integrating AI-assisted tools into your daily workflow and staying current as the landscape evolves. Complacency kills progress — we value adaptability and curiosity. Additional Details - Fully Hybrid Position - Travel may be required for company offsites - Broadband internet connection required - Location: All I-9 eligible candidates will be considered - Salary: $85,000 – $100,000 base, with bonus and equity eligibility - Benefits: Medical, dental, and vision; 401(k); and responsible vacation time (PTO) - Employment: Full-time The base pay offered will be determined based on the candidate’s experience, location, skills, training, certifications, education, internal equity, and market data. Total compensation may also include a discretionary performance-based bonus. We do not anticipate that candidates hired will begin at the top of the range, though this may occur on a case-by-case basis. ## About Allocate ## Company Overview - **One-liner**: Allocate builds the operating system and infrastructure layer that connects wealth advisors and asset managers for private markets investing. - **Entity Type**: Private (Funding Stage: Series C – $60.8M total raised) - **Headquarters**: Palo Alto, California, United States - **Founded**: 2021 - **Founders**: Samir Kaji (Co-Founder, CEO & President) and Hana Yang (Co-Founder, CXO) ## Core Business - **Primary industry**: Financial Services / Private Markets Infrastructure - **Target customers**: Wealth advisory firms (RIAs from $500M to $250B+ in AUM) and institutional asset managers operating in the wealth channel. - **Mission or purpose**: To build the private markets operating system for the wealth channel – bringing an end-to-end institutional-grade solution around structure, controls, and reporting. ## Products & Services - **Allocate Platform (Operating System for Private Markets)**: A unified technology platform that handles subscriptions, capital flows, portfolio operations, and AI-powered workflows.
