Let’s start with the role:

We are currently looking for an Office Assistant to join our team in Athens. Your mission will be to support the smooth and efficient operation of our office by handling administrative tasks, assisting team members, and ensuring a welcoming environment for colleagues and visitors.

As our Office Associate you will be responsible for:

Office Experience & Administrative Support

- Be the first friendly face people meet when they visit, welcoming interview candidates, business partners, and other visitors to our office.
- Own the office experience, taking care of the details that make our workplace welcoming, functional, and enjoyable.
- Keep our office running like clockwork, looking out for the little things that make a big difference, from making sure the alarm is set to handling day-to-day office needs and employee requests
- Act as the main point of contact for external partners and services, managing office suppliers, vendors, cleaning staff, and external technicians to keep everything running smoothly.
- Handle external errands and tasks, including parcel collections, deliveries, and other office-related matters that require in-person follow-up.
- Jump in where needed, supporting ad-hoc administrative projects and initiatives across teams, including Finance and Operations

HR Administration & Employee Support

- Own the digital attendance card process, following established procedures and coordinating with the HR Generalist to troubleshoot issues, and ensure smooth day-to-day management.
- Prepare attendance and working-time reports, supporting the payroll process.
- Get our new joiners set up for success, owning the employee equipment setup process and ensuring everything is prepared and ready before their first day.
- Support employee onboarding and offboarding, handling the administrative tasks that are part of our established processes.
- Help bring our team together, working closely with the HR Generalist to organize engaging internal events and company gatherings that strengthen our company culture.

Requirements:

- Bachelor’s Degree in Business Administration or a related field (completed or in progress)
- Strong organizational skills and attention to detail
- A proactive attitude and willingness to learn
- Comfortable with MS Office and basic tech tools (Google Workspace, Slack, etc.)
- Valid driver’s license for external errands and office-related tasks.
