The job

We’re looking for a highly organised and proactive Office Manager to support the smooth day-to-day operations of our Vilnius office, with additional responsibility for business travel coordination for Flo teams globally. This role reports into the Head of Office and Travel.

This is a hands-on operational role combining office administration, workplace coordination, and travel support. You’ll help ensure employees have a seamless experience both in the office and when travelling for business. The role requires someone who is detail-oriented, responsive, calm under pressure, and comfortable managing multiple priorities in a fast-paced, international environment.

You’ll work closely with our on-site Office Manager and internal teams — supporting office operations, coordinating travel arrangements, managing suppliers, and ensuring that day-to-day administrative needs are handled efficiently and professionally.

Please note that our Office team works onsite 5 days a week, with some flexibility when needed.

## Your Experience

Must have

- 3+ years of experience in office management, workplace operations, travel coordination, or administrative operations
- Experience coordinating international business travel
- Strong organisational and time-management skills with the ability to manage multiple requests simultaneously
- Experience working with external vendors and service providers
- High attention to detail and ability to handle complex logistics
- Excellent communication and stakeholder management skills
- Comfortable working in a fast-paced, operational environment
- Proficiency with Google Workspace, Slack, and spreadsheets

## Nice to have

- Experience in a tech or international company
- Experience using corporate travel tools (e.g. TravelPerk, Navan, Concur)
- Previous experience supporting office operations or workplace management

## What you'll be doing

Office & Employee Experience (approx. 70%)

- Support the dedicated Office Manager with day-to-day office operations and act as a backup when needed
- Help coordinate vendors, suppliers, office logistics, and workplace needs
- Coordinate selected social activities, employee gifts, anniversary initiatives, and internal gift shop operations
- Support ad-hoc workplace and employee experience projects as needed

Travel Coordination (approx. 30%)

- Manage end-to-end business travel bookings including flights, accommodation, visas, and ground transportation
- Ensure travel arrangements comply with company policies and budgets
- Act as the main point of contact for employees requiring travel support
- Manage last-minute travel changes and resolve travel-related issues
- Maintain relationships with travel vendors and agencies
- Support planning and logistics for company events, offsites, and team gatherings

Salary starting from 2600 EUR based on experience
