What You'll Achieve: A Glimpse into Your Contributions

- Ensure our new SF office operates smoothly and efficiently on a daily basis.
- Anticipate day-to-day office needs and proactively resolve issues to maintain a high-quality work environment.
- Serve as the first point of contact for all office visitors, providing a professional and welcoming experience.
- Maintain an organized and well-stocked workspace, including kitchen areas, meeting rooms, and common spaces.
- Oversee all office logistics including supplies, deliveries, workspace setup, space planning, and building access.
- Ensure conference rooms and A/V systems are fully functional.
- Liaise directly with building management on facilities, maintenance, and safety matters.
- Contract, manage, and evaluate external vendors including cleaning, maintenance, IT support, and office supply partners.
- Monitor office budgets, track operational spending, and process vendor invoices.
- Serve as on-site IT operations liaison, assisting with basic troubleshooting, equipment setup, and hardware inventory.
- Create a welcoming employee experience by supporting onboarding and workspace preparation.
- Lead work related to office move-ins and move-outs.
- Plan and coordinate in-office and off-site events such as company dinners.
- Work independently and take ownership of office operations while keeping leadership informed and aligned.

Core Skills & Experience:

- Experience: 1–2+ years of experience in office management, workplace operations, facilities coordination, or some other administrative or in-person coordination role
- Impeccable Judgment and Professionalism: Works independently with minimal oversight and excellent discernment, escalating issues only when needed, while embracing a proactive and hands-on approach to all tasks.
- Organized Operator: Creates and maintains reliable systems that keep the office running smoothly
- On-Site Presence: Ability to work in-person from our San Francisco office 10-20 hours per week. (with an opportunity to extend or convert to full time as our office grows)
