Who we are: New Zealand Trade and Enterprise (NZTE) is New Zealand's international business development agency. We work with some of New Zealand's most forward-thinking companies, helping them grow bigger, better, and faster around the world.  Our Santa Monica office is a diverse group of about 20 team members co-located with other New Zealand agencies. We are part of a regional team which includes offices in New York, San Francisco, Denver, Washington DC, and Vancouver, Canada. What you’ll be doing: As Office Manager in our regional hub office, you'll keep the place running: the space, the systems, the processes, and the daily rhythm of a 20-person team. You'll be the first person people come to when they need to know how something works or where something lives. Supporting team culture, safety, and wellbeing sits at the center of the role, alongside a lighter but steady stream of bookkeeping, expense management, and facilities coordination. It's a strong fit if you take real ownership of your patch, enjoy looking after people, and can read a situation and make the call without waiting to be asked. In addition to the day-to-day operations of the Santa Monica location, you will provide support for visitor management, budgeting, and supporting event management. This role also looks after two smaller teams located in remote WeWork offices based in San Francisco and Denver – with occasional travel (1-2 times per year). You will help the North American region achieve operational excellence by helping to design, develop, and implement administrative systems, as well as be a champion and role-model for great culture and collaboration. In addition to the North American team members, you’ll also work with stakeholders in New Zealand Operations and across the globe. What you’ll need to be successful: You’ll be an experienced Office Manager (or similar operations role) with three fundamental strengths: Ownership: you see problems coming before they land, handle them, and tell us afterward. Graciousness: you make the day smoother for thirty people without keeping score. Judgement: you know which decisions are yours to make and which need a five-minute chat first, and you don't often get those two mixed up. The shape of the role: You'll run the social side of the office: the social club monthly events, the whiteboard that everyone loves to post riddles on, and bringing a bit of buzz to the random dress-up day. This should sound fun to you rather than like a chore we've tacked on, because it's genuinely part of the job and we’d like you to be into it. You’d rather be ready than lucky. Office security and crisis management planning sit with you, and you’ll care about them because you care about the people in the building; not simply to have a policy document. Wellbeing means something to the organization, and you are one of its Santa Monica champions. You don't just fix things. You notice when you're fixing the same thing for the second time and do something about it. This role only works if you’re organized. Nothing goes missing on your watch. Not a document, not a delivery, and not a follow-up you said you’d make. You’re A.I. adventurous and find ways to elevate your work, your team, and your own curiosities about leveraging technology at work. Why you’ll love working here: Our environment encourages experimentation and constant learning, intellectual challenge, and absolute honesty. We keep promises and honour commitments and we celebrate the mana (strength and dignity) of each other as being equal to or greater than our own. If this opportunity sounds like you, we'd like to hear from you. What’s next: If this opportunity is of interest to you, please apply online by 11:59pm Pacific Wednesday 23 September. Please check out the position description here. Include a cover letter describing why you are interested and why think you are suited for this role. The compensation package for this role is USD $107,000 - $117,000. This range represents a ‘total package’ approach to compensation and includes the value of a platinum medical insurance plan, including dental and vision coverage. You may enroll in this group medical plan (pre-tax benefit), and the per-pay-period cash value of compensation will be adjusted accordingly.
