About Marloo

Marloo is building the AI partner for financial advisers. Advisers focus on clients while Marloo handles the rest. They guide people through the most important decisions of their financial lives and the software built for them has never been worthy of that. The role

The office of the founders is a small team embedded at the highest level of the company, driving execution on key initiatives and making sure founder time goes to the highest value work. As Executive Assistant you will work closely with co-founders Hardy and Shak, running the detail of their days so they stay focused on leading. Calendars, inboxes, travel, team events and personal coordination all sit with you, and you will anticipate what they need before they ask, smooth the friction points and create calm in a fast moving startup.

What you will do

As Hardy and Shak's EA you will be responsible for:

  • Designing how Hardy and Shak actually operate, building the weekly rhythms, systems and AI assisted workflows that reduce noise and protect their focus, and noticing the work either of them should have handed over
  • Managing both calendars and inboxes, deciding what each meeting and message actually needs
  • Running triage on everything coming in, answering what you can answer yourself, directing the rest into the team, and surfacing what is left with a recommendation rather than a question
  • Knowing who owns what across the company, so work reaches the right person rather than defaulting to a founder
  • Saying no on their behalf, and protecting the time that matters most
  • Coordinating logistics across multiple countries and time zones, from international travel to board and investor scheduling to team events
  • Making sure they walk into every meeting prepared, whether that is an investor pitch, a journalist or a customer
  • Keeping follow ups moving across the team, customers, investors and partners, and closing the loop so nothing needs asking about twice
  • Handling confidential work with judgement, across both professional responsibilities and personal admin

That's the role, so who are you?

  • You have supported a founder or CEO closely for two years or more and built real trust doing it, with depth behind one or two people rather than breadth across a leadership team
  • You are comfortable with hours that flex around two founders who travel constantly, and you don't watch the clock when something needs to land
  • You have the judgement to separate what is important from what is merely loud, and you make that call yourself
  • You bring taste to the work, whether that is choosing the restaurant for a large customer, wording a decline, or knowing when to interrupt and when to wait
  • You read people well, and can work with two founders while adapting to how each of them operates
  • You are reliable, with nothing dropped, nothing chased twice and no detail lost across time zones
  • You understand the value of discretion, because you will see compensation, performance, legal and investor material from day one
  • You work well in startups and ambiguity, and you stay steady in a difficult week
  • You are fluent with AI and use it daily, whether Claude, ChatGPT or similar, built into how you work so the routine parts of the job take less of your attention and more of it goes to judgement
