Role Summary:
The Office Administrator [Contract] will play a crucial role in ensuring smooth daily operations by providing administrative support and managing front desk responsibilities. The ideal candidate will have exceptional organizational skills, professional demeanor, and the ability to interact with executive-level professionals with confidence and professionalism.
Role Responsibilities:
Front Desk Management:
- Greet and welcome visitors in a courteous and professional manner.
- Manage incoming calls, redirecting them appropriately, and taking accurate messages when necessary.
- Maintain a tidy and organized reception area, ensuring it reflects our company's professional image.
- Handle incoming and outgoing mail and deliveries.
Administrative Support:
- Provide administrative support to executives and other team members as needed.
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare and modify documents including correspondence, reports, presentations, and spreadsheets.
- Maintain electronic and hard copy filing systems.
Communication and Coordination:
- Act as a liaison between internal departments and external contacts.
- Communicate effectively with clients, vendors, and other stakeholders.
- Assist in the coordination of office events, meetings, and conferences.
Workplace Flexibility:
This is a contract position with typical office hours 8-5pm. The successful candidate will have the opportunity to work in a collaborative and dynamic environment, interacting with executive-level professionals on a regular basis.
Qualifications:
- Proven experience as an administrative assistant, receptionist, or similar role.
- Excellent verbal and written communication skills.
- Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Ability to prioritize tasks and work independently with minimal supervision.
- Professional demeanor with the ability to maintain confidentiality.
- Experience working in a modern office environment preferred.
- Bachelor's degree or relevant certification is a plus.
Compensation
Hourly range is dependent on factors such as geographical differentials, credentials or certifications, industry-based experience, qualification and training. In the city of Mountain View, CA, the hourly range for this contract position is $30 - $35/ hr.
