Responsibilities:
Staffing & Team Coordination
- Partner with leadership and HR to coordinate hiring
- Schedule interviews, onboarding, and training
- Track staffing needs across our locations
- Maintain employee records and onboarding documentation
- Coordinate uniforms, training schedules, and coverage
Operational Coordination
- Maintain operational task lists and follow up on pending items
- Coordinate communication across kitchens, cafés, grocers, logistics, purchasing, marketing, and leadership
- Prepare meeting agendas and action items
- Support implementation of new operational procedures and standards
Systems & Administrative Management
- Maintain SOPs, operational manuals, and training documents
- Organize digital files and operational trackers
- Manage Toast POS updates, product setup, pricing, menus, and data accuracy
- Build systems that improve how we work
Purchasing & Inventory Support
- Manage purchase orders, vendor communication, invoices, deliveries, inventory reports, and ordering schedules
- Track COGS and maintain operational documentation
Project Management
- Coordinate timelines for operational initiatives
- Follow up with vendors, contractors, suppliers, and internal teams
- Track permits, construction, and projects through completion
Event & Marketing Support
- Coordinate logistics for events, promotions, product launches, and community activations with our marketing team
Compliance & Standards
- Maintain food safety documentation, licenses, and operational records across all locations, upholding company standards
Ideal Background:
- 2-3 years food & beverage management or hospitality operations.
- Passion for healthy food, wellness, and hospitality
- Hands-on Toast POS experience including menus, pricing, product management, and reporting
- Exceptional organizational and project management skills
- Strong communication and follow-through
- Detail-oriented with a strong sense of accountability
- Comfortable working cross-functionally across departments
- Advanced proficiency with Google Workspace and Microsoft Office
- Ability to thrive in a fast-paced, evolving environment
- Must be able to commute and travel between Flow properties, including Flow Miami, Flow Brickell, Flow Wynwood, and Flow Fort Lauderdale.
