About the role
The Procurement and Workplace Operations Coordinator is a hands-on workplace operations partner who owns the day-to-day coordination across Socure’s distributed office hubs. This role ensures our remote office locations are accessible, well-supported, organized, and ready for employees, teams, and leaders to use effectively. This is a role for someone who is highly organized, proactive, and service-oriented — someone who can manage details across multiple office hubs, vendors, stakeholders, and internal communication channels. They will serve as the primary point of coordination for WeWork access, office availability, supplies, furniture, vendor points of contact, and hub-related communications. The ideal candidate is a builder and a doer — equally comfortable maintaining office trackers, coordinating logistics for offsites, and troubleshooting employee access issues. This is also a unique opportunity for an operationally minded coordinator to gain exposure to procurement and vendor operations, including purchase order tracking, vendor coordination, and contract administration, while partnering with vendors more broadly to resolve operational needs.They will work closely with People, Finance, Legal, Procurement, IT, and business stakeholders to create a consistent, reliable, and welcoming office experience across Socure’s workplace hubs.
What you'll do
- Serve as the day-to-day point of contact for Socure’s office hubs, ensuring locations are organized, functional, and employee-ready.
- Manage office communications and documentation, including access, closures, logistics, events, equipment, and employee questions.
- Coordinate employee office access, onboarding, access lists, troubleshooting, and location-specific requirements.
- Manage corporate mail intake, review, and distribution.
- Coordinate office space for offsites, team meetings, executive visits, collaboration days, and employee events.
- Track office supplies, furniture, snacks, and equipment; submit purchase requests and monitor orders.
- Maintain office contracts, vendor contacts, renewal dates, key terms, and spend visibility.
- Serve as the primary contact for workplace vendors and building management.
- Identify opportunities to streamline workplace operations and improve office usage and employee experience.
- Monitor office needs, employee feedback, and vendor performance to proactively resolve issues.
- Support purchase requests, vendor onboarding, renewals, and procurement documentation.
- Track procurement requests and follow up with stakeholders to keep approvals and purchases moving.
- Partner with Finance, Legal, and business teams to support purchasing and vendor management processes.
- Support Legal, Tax, Accounting, and other teams on office policies, requirements, and compliance needs where appropriate.
What you bring
- Experience in workplace operations, office management, facilities, procurement, vendor coordination, or a similar role.
- Experience supporting distributed teams, coworking spaces, or flexible office models preferred.
- Strong organizational skills with the ability to manage multiple priorities, vendors, requests, and timelines.
- Clear and effective communication across employees, vendors, and cross-functional teams.
- Strong follow-through when managing access, employee requests, vendors, and operational tasks.
- High attention to detail when maintaining trackers, records, POs, invoices, contracts, and documentation.
- Proactive problem-solver with a strong service mindset and ability to anticipate needs.
- Ability to work independently while building strong relationships across teams and external partners.
- Comfortable coordinating logistics for meetings, offsites, events, and office collaboration.
- Familiarity with Slack, Google Workspace, spreadsheets, procurement systems such as Zip, and vendor management processes.
- Familiarity with automation and AI tools, such as Zapier, and an interest in process improvement is a plus.
- Ability to appropriately handle confidential employee, vendor, access, and contract information.
- Demonstrates ownership, accountability, collaboration, continuous improvement, and trust in line with Socure’s operating principles.
