ROLE PURPOSE

In this role you will provide high-level administrative and coordination support to a C-Suite executive and partner closely with cross-functional teams. You will ensure smooth day-to-day operations by managing calendars, travel, assisting with inbox organization, coordinating off-site activities, and supporting internal planning processes. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently.

WHAT YOU’LL DELIVER IN THE FIRST 6–12 MONTHS

  • Efficient and proactive calendar management for executives, ensuring optimal time allocation and scheduling clarity.
  • Structured and organized inbox support, including prioritization and light correspondence handling.
  • Seamless coordination of off-site activities for teams such as medics, marketing, and potentially operations.
  • Well-prepared agendas and materials for team meetings, improving meeting effectiveness and follow-up.
  • Smooth travel planning, including logistics and detailed itineraries (with expenses managed directly by executives).
  • Improved administrative workflows that enhance overall team productivity and communication.

MINIMUM REQUIREMENTS

  • 5+ years of relevant experience in administrative, coordination, and executive support roles.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills in English.
  • Ability to handle multiple tasks and adapt in a fast-paced environment.
  • High level of discretion and professionalism.
  • Proficiency in common productivity tools.
