Job description

We’re opening a new office in Bangalore and are looking for a highly organized, proactive Executive Assistant / Office Manager to help build and run it day-to-day. This is a ‘Work from office’ role supporting senior leadership while also owning office operations. The right person will be a strong operator who anticipates needs, creates structure, and keeps things running smoothly in a fast-moving environment.

Key Responsibilities

Executive Support

- Calendar & Time Management: Own complex calendars for senior leadership, proactively prioritizing meetings, resolving conflicts, and ensuring time is aligned with business priorities

- Travel & Logistics: Plan and coordinate detailed travel itineraries, including flights, accommodations, and on-the-ground logistics; manage expense reporting

- Communication & Gatekeeping: Serve as a trusted point of contact, managing inbound communication with professionalism and discretion while protecting executive time

- Meeting Preparation & Follow-ups: Prepare agendas, materials, and presentations; capture notes and drive follow-through on key action items

- Anticipation & Problem-Solving: Proactively identify needs, surface issues early, and propose solutions without requiring detailed direction

Office Management

- Office Operations: Build and manage day-to-day office systems, including vendor relationships, supplies, mail, and general logistics

- Facilities Coordination: Act as the primary liaison with building management for maintenance, repairs, and overall office environment

- Culture & Experience: Plan and execute team events, onboarding experiences, and in-office rituals that create a positive and productive environment

- Technology & Tools: Support basic IT and office tech needs; troubleshoot issues and help implement new tools and systems as needed

- Process Building: Establish and improve scalable workflows for office operations and administrative support as the office grows

Qualifications

- Experience: 5+ years supporting executives, managing office operations, or in a similar high-responsibility administrative role

- Ownership & Judgment: Strong sense of accountability with the ability to operate independently, prioritize effectively, and make decisions in ambiguous situations

- Organization & Attention to Detail: Exceptional ability to manage multiple priorities without dropping the ball

- Discretion: High level of integrity and professionalism when handling confidential information

- Tech-Savvy: Proficiency with Google Workspace and Microsoft Office; comfortable learning and implementing new tools (e.g., Slack, Confluence, Jira)

- Communication: Clear, concise written and verbal communication skills

- Adaptability: Thrives in a fast-paced, evolving environment and is willing to roll up sleeves across a range of tasks
