About the role
Constellation works with the individuals and organizations trying to make sure AI goes well for humanity. That only happens if we're running well internally, and a well-run Constellation means more capacity, capability, and coordination across the AI safety ecosystem. We're looking for a People Operations Coordinator to join our People team. The people who thrive here are highly organized, take real ownership of their work, and follow through reliably. You'll be executing and maintaining the core systems and processes that keep the People function running — and building them out where they don't yet exist.
Key responsibilities
Core People Operations
- Execute end-to-end onboarding and offboarding logistics, ensuring new hires have a smooth start and departing employees are supported through a clean transition.
- Maintain our HRIS, ensuring employee data is accurate, well-organized, and audit-ready.
- Administer employee benefits programs, including enrollment, employee questions, and vendor coordination.
- Help maintain compliance with applicable employment laws and regulations, flagging issues as they arise.
- Own People Ops documentation and internal resources (e.g., employee handbook, FAQs, process guides), and draft new ones as needed.
- Spot what's breaking or at risk and escalate clearly with context.
Recruiting & Talent Operations Support
- Coordinate scheduling, candidate communications, and onsite/interview logistics.
- Maintain ATS hygiene and recruiting data.
- Support candidate experience touchpoints, including greeting onsite candidates and helping them navigate the Constellation ecosystem.
Immigration & Legal Administration
- Track visa and immigration case timelines and deadlines, keeping employees informed throughout.
- Coordinate with outside immigration counsel on documentation and filings, following established processes.
- Support contract and compliance tracking, including offer letters, employment agreements, and policy acknowledgments.
Skills & experience
- Experience in People Operations, HR, or a related administrative or coordination role, with a track record of managing detailed processes accurately and on time.
- Highly organized with meticulous attention to detail; you notice what others miss and follow through reliably.
- Thoughtful and discreet; you handle sensitive information with care.
- Strong written and verbal communication skills, with warmth and professionalism in every employee and candidate interaction.
- Comfortable building processes from scratch, not just following existing ones.
- Some familiarity with HRIS systems, ATS platforms, or similar tools, or you pick up new systems quickly.
Nice-to-Have
- Exposure to immigration coordination or compliance processes.
- Experience with multi-state employment.
- Experience administering an HRIS, e.g. Rippling.
