The Role
We’re hiring a Project and Operations Associate. Looking for a hands-on, organized, and energetic person who can help us move fast and stay on track. The candidate will work directly with the founders on day-to-day operations, research, outreach, and field tasks.
Key Responsibilities:
- Executive Coordination & Startup Setup
- Serve as the primary coordination link between the co-founders, ensuring strategic alignment and daily progress visibility.
- Maintain master task trackers, reminders, and structured daily/weekly updates.
- Build foundational administrative systems, including templates, dashboards, and checklists.
- Support financial tracking and modeling for budgets, cost monitoring, and vendor payments.
- Coordinate with external advisors (legal, accounting) and organize all company registration and compliance documentation.
- Execute key operational requests (e.g., vendor scouting, office logistics) with thorough documentation and follow-through.
- Operations Build-Out & Vetting Support
- Help design, document, and maintain the company’s first SOPs and internal workflows.
- Own components of the freelancer vetting process: document collection, verification follow-ups, interview scheduling, and onboarding.
- Support the development of Trust & Safety workflows (KYC, verification, quality control).
- Manage early user-freelancer booking coordination, ensuring smooth execution and issue resolution.
- Keep all operational and supply-side trackers accurate and up-to-date.
- Research, Discovery & Vendor Coordination
- Conduct structured research and discovery on key service providers (e.g., software developers, marketing agencies).
- Contact vendors, request proposals, and lead the creation of detailed comparison matrices.
- Synthesize findings into actionable summaries for founder decision-making.
- Outreach & Partnership Coordination
- Research and proactively engage with universities, schools, and community organizations to activate and expand the freelancer supply network.
- Build and maintain a comprehensive partnership CRM with status updates and meeting notes.
- Visit partners on-site, nurture relationships, and support local initiatives and events alongside or independent of the co-founders.
- Handle professional communication, local logistics, and day-of coordination for partnership activations and community events.
- Support early-stage negotiations and documentation.
- Recruitment & HR Support
- Assist in early team hiring: sourcing candidates, scheduling interviews, and applicant tracking.
- Support the onboarding process for new team members, managing documentation and logistics.
- Marketing & Influencer Collaboration (Launch Phase)
- Identify, evaluate, and shortlist potential influencers and community collaborators.
- Build structured outreach trackers and coordinate campaigns with agencies.
- Support on-the-ground event logistics, vendor coordination, and local pickups/deliveries tied to marketing activations.
- Monitor campaign budgets and performance in shared dashboards.
- Research & SOP Benchmarking
- Benchmark regional and global platforms for best practices in operations, vetting, and UX.
- Assist in developing internal playbooks and policies based on researched insights.
- Maintain a centralized knowledge base of competitive and operational intelligence.
- Cross-Functional Execution & Tech Liaison
- Translate founders’ strategic direction into clear, actionable task lists and timelines.
- Coordinate follow-ups across tech, operations, and marketing to ensure project cohesion.
- Act as a liaison to the tech team, summarizing feature requests and assisting in user acceptance testing.
- Initiative & Continuous Improvement
- Proactively identify process bottlenecks and market opportunities, presenting solutions.
- Take full ownership of assigned tasks with a focus on efficiency and quality.
- Handle all confidential information with the utmost discretion and integrity. Profile & Competencies:
- Education: Bachelor’s in Business, Management, or a related field.
- Experience: 5 years in operations, project coordination, or an executive support role (startup or high-growth SME experience is a significant plus).
- Languages: Fluent in English & Arabic (French is a plus).
- Technical Skills:- High proficiency in Microsoft 365 / Google Workspace.
- Advanced Excel/Google Sheets is mandatory (formulas, pivot tables, data analysis, dashboards).
- Familiarity with AI productivity tools (e.g., ChatGPT, Gamma) and project management platforms (e.g., Trello, Asana, Notion).
