ROLE SUMMARY
Reporting to Justin, our Senior Director of Finance, you’ll take ownership of operating expense accounting for Prefect. This includes assessing and recording monthly accruals, maintaining the cash feed and ensuring transactions are accurately captured, and overseeing budget vs. actuals, T&E, vendor bill payments, and corporate card programs.
You’ll be the person department leads come to when they want to understand what they’ve spent and what they have left, and the person making sure vendors and employees get paid accurately and on time. It’s a hands-on role with a lot of ownership, cross-functional visibility, and room to make the work you own more efficient as the company grows.
You’ve done this before at a software or tech startup, you’re comfortable being the primary owner of a process rather than one of several hands on it, and you’re comfortable working in a modern finance stack like Ramp, Navan, and Stripe.
WHAT YOU'LL DO
- Own budget vs. actuals reporting, partnering directly with department leads to explain variances and keep them informed of their spend.
- Manage the full operating expense cycle: vendor bill payments (AP), the corporate card program, and employee travel & expense reimbursements.
- Prepare journal entries, accruals, and balance sheet reconciliations for opex accounts as part of month-end close, consistent with GAAP.
- Assist with federal and state reporting requirements and tax filings, including corporate tax returns, sales tax registrations and filings, and 1099s.
- Partner with department heads to improve how they track and forecast their own budgets — you're building the process, not just running it.
- Identify and drive automation and process improvements across AP, T&E, and close, using tools like Ramp, Navan, and Rillet.
- Assist with ad hoc requests and projects, such as system automations, process improvements and researching technical accounting topics.
YOUR QUALIFICATIONS
Must-haves:
- 3+ years of progressive accounting experience, ideally at a fast-growing software or tech startup.
- Hands-on ownership of AP, corporate card programs, and/or T&E processes — not just a supporting role on someone else's.
- Experience with modern finance tools like Ramp, Stripe, and Navan.
- Strong Excel/spreadsheet skills, including building and maintaining budget vs. actuals models.
- Bachelor's degree in Accounting, Finance, or a related field.
Nice-to-haves:
- CPA or actively working toward one.
- Experience with Rillet.
- Familiarity with BI tools like Looker.
WHAT YOU'LL GET IN RETURN
Base Salary Ranges:
- San Francisco Bay Area & NYC Metro: $123,000 - $173,000
- Washington D.C., Boston, LA Metro, Seattle: $116,000 - $160,000
- Denver, Chicago, Atlanta, & all other U.S. metros: $111,000 - $148,000
