Job description
You are the face and heartbeat of our Zurich office. As Workplace Experience Coordinator, you welcome visitors, keep daily operations running smoothly, and create a workplace where colleagues enjoy coming in. The role combines front-desk responsibilities with goods receiving, office supply management, and the organization of team events.
YOUR MAIN TASKS INCLUDE
Reception & Front Desk
- You welcome and register visitors, candidates, and partners, acting as the first point of contact for the office
- You handle incoming calls, mail, and general inquiries
- You keep reception and common areas tidy and presentable
Goods Receiving & Logistics
- You receive deliveries and check them against delivery notes and purchase orders
- You report discrepancies or damages to the ordering team
- You distribute material and parcels to the right teams and manage storage
- You coordinate outgoing shipments and courier services
Office Supplies & Hospitality
- You monitor and restock fridges, beverages, snacks, and kitchen supplies
- You manage office consumables and place orders with suppliers
- You ensure kitchen and break areas are well stocked and clean
Events & Team Life
- You plan and organize apéros, team lunches, and internal events
- You coordinate caterers, venues, and vendors, managing budgets and invoices
- You support the onboarding of new colleagues with workplace setup and office tours
WHAT WE CAN LOOK FORWARD TO
- Completed vocational training (e.g. KV, hospitality, or similar) or comparable experience
- Prior experience in reception, office administration, hospitality, or logistics
- A hands-on, service-oriented approach with strong organization and a keen eye for detail
- Comfort with MS Office / Google Workspace and standard office tools
- Fluency in German and English (written and spoken); French is a plus
- A friendly, proactive personality who enjoys making the workplace better for others
